NARU Systems (“NARU,” “we,” “us,” or “our”) builds and runs AI agents and Voice AI agents for businesses. This Privacy Policy explains what information we collect when you visit narusystems.com (the “Site”), book a call, or use our services (the “Services”), how we use it, and the choices you have.
1. Two roles we play
- When you deal with NARU directly — visiting the Site, booking a demo, emailing or calling us, or signing up as a client — we decide how your information is used, and this Policy applies.
- When we run AI agents or Voice AI agents for a client, we process information on that client's behalf — for example, details from people who call the client's business line, or emails and documents in accounts the client connects. That information belongs to our client and is handled under our agreement with them and their own privacy policy. If you called or contacted one of our clients, please contact that business about your information; we will help them respond.
2. Information we collect
Information you give us
- Contact and booking details: name, business name, email, phone number, and anything you share when you book a call through our scheduling tool, email us, or call us.
- Client account details: billing contact, the job you want an agent to handle, approved FAQs and scripts, templates, and the permissions you choose to grant to connected apps.
- Payment details: handled by our payment processor. We do not store full card numbers.
Information collected automatically
- Site usage: pages viewed, referring site, device and browser type, approximate location from IP address, and similar data collected through Google Analytics and our hosting provider's standard server logs.
- Cookies: see Section 6.
Information processed for clients (Services data)
- Voice AI calls: caller phone number, call time and length, what the caller says (which may be transcribed and, if the client enables it, recorded), and the summary sent to the client's team.
- AI agent work: the emails, files, calendar items, tasks, and records in apps a client connects, limited to the access the client approves.
- Connected social or business accounts: if a client authorizes a connection (for example, a TikTok or Meta business account), we receive the account data and permissions that platform grants for that connection, and we use it only to perform the agreed job.
3. How we use information
- Respond to inquiries, schedule and hold demo calls, and send proposals.
- Set up, run, test, monitor, and support the AI agents and Voice AI agents a client has agreed to.
- Bill clients and manage usage budgets and spending caps.
- Improve the Site and our Services, and keep them secure.
- Send service messages and, with permission where required, occasional updates about NARU. You can opt out at any time.
- Meet legal obligations and enforce our agreements.
We do not sell personal information, and we do not use client Services data to train AI models of our own or to market to a client's customers.
4. AI processing
Our agents use third-party AI model, speech, and telephony providers to understand requests, generate drafts and replies, transcribe calls, and produce spoken responses. Information is sent to these providers only as needed to perform the agreed job, under their business terms. AI output can contain mistakes, which is why consequential or customer-facing actions require client approval unless the client agrees otherwise in writing.
5. How we share information
- Service providers that help us run the Site and Services, including website hosting, analytics (Google Analytics), scheduling (Calendly), payment processing, email, AI model and speech providers, telephony providers, and cloud hosting. They may use information only to provide services to us.
- Our clients, for Services data processed on their behalf (for example, a call summary sent to the business that owns the phone line).
- Professional advisers, such as lawyers and accountants, under confidentiality.
- Legal and safety reasons, when required by law or to protect rights, safety, or property.
- Business transfers, if NARU is involved in a merger, acquisition, or sale of assets.
6. Cookies and analytics
The Site uses Google Analytics to understand how visitors use it. Our scheduling tool may set its own cookies when its calendar loads, and it shows its own notice where required. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on. We do not currently use advertising pixels on the Site; if that changes, we will update this Policy first.
7. Text messages
We do not send marketing text messages from the Site. If we text you about a booked call or a client service, message and data rates may apply, and you can reply STOP to opt out or HELP for help. We do not share text-message opt-in data or consent with third parties for their marketing.
8. How long we keep information
We keep information only as long as needed for the purposes above. Booking and inquiry details are kept for the life of the conversation and a reasonable period after. Client Services data is kept for the length of the engagement and then deleted or returned as set out in the client's agreement, except where we must keep records by law. Call recordings and transcripts follow the retention period agreed with the client.
9. Security
We use reasonable safeguards, including access limited to what each job needs, separate permissions for drafting and sending, spending caps, and testing before launch. Clients control the sign-ins and permissions they grant and can revoke them at any time. No system is perfectly secure, so please contact us right away if you believe your information has been compromised.
10. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to opt out of certain uses, and to not be treated differently for using these rights. California residents have these rights under the CCPA/CPRA; NARU does not sell or “share” personal information for cross-context behavioral advertising. To make a request, email us. We will verify the request and respond within the time required by law. For Services data, we will forward your request to the client that controls it.
11. Children
The Site and Services are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.
12. Where we process information
NARU is based in the United States, and our providers may process information in the U.S. and other countries.
13. Changes to this Policy
We may update this Policy. We will change the “Last updated” date and, for material changes, give notice on the Site or directly to clients.
